Deed of Gift Addendum

The following language has being integrated into USF Special Collections' Deed of Gift to facilitate major questions over the donation process.

 

Addendum 2.

To the best of the Donor’s knowledge, born-digital materials are originals in the public domain or for which the donor holds copyright.  

Born digital archives are evaluated for reprocessing, rehousing, reformatting, weeding, and online dissemination with particular attention paid to proprietary file formats and the potential for file corruption or loss. I acknowledge that the files transferred to the University of South Florida will not be returned to me, and USF is not liable for the loss of any file data donated.

I acknowledge file names may be edited or changed to better indicate the contents of the files and facilitate working with the digital records unless original order is determined to be a critical element of collection organization.

Files may be scanned using virus checks, checksums, or other A.I. supported software to verify it is not corrupted, remains accessible, and has appropriate metadata. I acknowledge that my files may be processed in accordance with standard digital archival practices.

I acknowledge that my collection may be weeded in accordance with standard archival practices, and files may be deleted in this process. Materials weeded from collections will not be returned to the donor.

If donated on a reusable physical transfer device (hard drive, thumb drive), does the donor request the return of the device? Note: Items such as CDs and cassettes will not be returned.
